Redesign Member Management Features
Teambition is a cloud-based project management and collaboration platform designed for teams of all sizes. It offers a range of features such as task management, team communication, file sharing, and calendar scheduling, all of which are integrated into a single platform.

♦︎ Summary
As the main UX designer, I led the project by conceptualizing ideas, conducting design sprints, and collaborating with the UI designer to deliver final assets, resulting in a threefold increase in user engagement rate for the redesigned feature.
Introduction
In order to enhance the onboarding process for new hires within virtual organizations on Teambition, this project aims to streamline and enhance the user flow of inviting new users to the organization, specifically for HR personnel.
Highlights
High Impact
The redesigned feature is crucial for our paying customers, who are the main source of revenue for the company.
3X Usage
After the redesign, we received overwhelmingly positive user feedback, and usage increased threefold.
High Complexity
As a core feature, it was deeply integrated into a significant number of other features, which means it could break user experiences on a large scale if not designed correctly.
♦︎ The Problem
The original user flow with issues

In the previous user flow, HR personnel had to navigate back and forth between different pages to onboard a new member to the system, leading to a cumbersome and time-consuming process.
We redesigned the problematic user flow of the member and team management feature in Teambition. Previously, HR had to add new members to the virtual organization and then assign them to their respective teams, resulting in a complicated process without displaying the organizational structure. The old version had separate member and group pages, requiring users to add members on one page and assign them to groups on another.
Additionally, it lacked the ability to create sub-groups within larger groups, which was a common requirement for medium/large-sized organizations. To address these issues, we completely redesigned the feature.
♦︎ The Goal
User Goal
Enable HR personnel in medium to large companies to create organization structures with minimal friction.
Business Goal
Enhance the member management features to attract more medium and large companies as customers.
Success Metrics
Increase the department and sub-department creation rate.
♦︎ The Design
Member Page
We introduced a single-page solution to simplify the process of member management, with a focus on three key aspects:
Simplify user flow of member onboarding
Grant permission with ease
Support sub-department

(Hover over the UI above to view feature explanations. )
This core feature overhaul significantly transformed the user experience of Teambition and how our customers utilize our product. For example, users can now easily add specific departments to projects, automatically granting project access to all members within those departments. This simplification has streamlined daily operations for our customers, enhancing their productivity and efficiency.

Results
Following the launch of the new member management feature, we received overwhelmingly positive feedback from our users. The key metrics related to creating departments (groups) experienced a significant increase, with a threefold growth observed. This surge in metrics indicates that our customers not only loved the feature but also fully utilized it.
💡 Fun fact: the member management shortcut for the empty state when a user hasn't been assigned to any department is a critical usage-driven secret in this project.
